POSITION: Analyst/Executive Assistant 1099 Contract

Red Carrot is seeking a TEMPORARY 30-90 day CONTRACTED Administrative Assistant to join a team to support our federal government client. This assistant must be capable of providing all-encompassing administrative support and managing day-to-day administrative affairs efficiently. You will be required to be in the office a minimum of two days a week.
Responsibilities
  • Manage the day-to-day administrative affairs of the client
  • Maintain client’s full calendar, including scheduling daily appointments and deconflicting appointments whenever necessary
  • Coordinate administrative tasks, and oversee designated administrative operations
  • Accurately enter information into databases/tracking systems
  • Verifying the availability of inhouse and external participants for planned meetings
  • Send out reminders of scheduled meetings
  • Reschedule or cancel meetings in a timeous manner and noting the reason for cancelation
  • Manage and confirm travel bookings and arrangements
  • Keep stakeholders informed of project timelines and associated deadlines
  • Exercise basic to intermediate formatting skills for a variety of reports, presentations, and spreadsheets
  • Prepare agendas, presentation materials, meeting requests, and meeting minutes
  • Answer and screen incoming calls and direct calls to the appropriate person
  • Develop written documents and correspondence that demonstrate a mastery of basic grammar, spelling, and punctuation skills
  • Compile input for and draft/organize a variety of reports
  • Maintain stakeholder email and distribution lists
  • Ensure effective document management
  • Maintain templates and resources for operations
  • Fully coordinate interviews, meetings, panels, etc. maintaining effective communication with the appropriate staff and with external stakeholders
  • Establish and maintain effective and appropriate working relationships

Qualifications
  • Bachelor’s degree or equivalent experience
  • 2+ years of experience as an Administrative Assistant
  • Communicate clearly and effectively to all stakeholders with a high degree of professionalism, diplomacy, and tact
  • Experience providing administrative assistance to senior leadership
  • Demonstrated a high level of proficiency in MS Word, Excel, PowerPoint, and Outlook
  • Display and employ strong critical thinking skills
  • Demonstrate clear judgment and independent decision-making capabilities
  • Work independently to complete tasks and/or work products with conceptual guidance
  • Work on and prioritize multiple assignments throughout the workday
  • Proactively identify assignments
  • Produce work products that require minimal revision
  • Effectively communicate in written and oral formats; able to respond in a timely manner to requests for information
  • Demonstrate the ability to manage multiple priorities within a fast-paced environment
