Event Coordinator
Location: Alexandria, Virginia
Travel: Up to 10% (occasional event support on weekends in the DC metro are)
Clearance: Public Trust
Red Carrot is seeking an Event Coordinator to join a team supporting our federal government client. The individual filling this role will be an organized, proactive, detail-oriented, and personable teammate. The role will provide planning and execution support for various meetings, events, and conferences. This position requires working onsite five days a week in Alexandria, Virginia.
KEY RESPONSIBILITIES:
- Provide direct support to internal and external events, including managing venue requirements, signage, invitations, attendance, and other requirements as needed
- Research requirements and context for various events, meetings, and conferences to ensure that the client is prepared to interact with various audiences and stakeholders
- Identify and manage inventory for educational information resources and other outreach materials
- Coordinate exhibit design, technology, and management with designated vendors/partners
- Provide expert guidance on the most efficient and effective options for building/curating/creating exhibits, supplies, and experiences to suit specific event needs
- Easily adapt onsite events and exhibits planning and logistics skills to virtual platforms and environments
- Familiar with federal requirements (e.g., 508 compliance) and ensure compliance with such regulations
- Collaborate with vendors on behalf of clients, ensuring professional and effective communication to achieve desired outcomes
- Ability to travel up to 10%
- To work on other duties as assigned
QUALIFICATIONS:
- 2+ years of experience in event planning
- Must have at least a bachelor’s degree
- Strong writing, communication, and organizational skills
- Communicate clearly and effectively to all stakeholders with a high degree of professionalism, diplomacy, and tact
- Proficient in Microsoft 365
- Ability to attend/ work at occasional customer events on the weekend in the DC metro area
